Already a global business in its own right, Solo Expenses has teamed up with the clever people who produce the Xero accounting software platform to offer an even more streamlined expense management solution anywhere on the planet.
The best business expense tracking software needs to do much more than simply track expenses. It needs to integrate with the rest of a company’s financial functions so that capturing the expense data at the ‘point of sale’ triggers a series of other actions and date records.
And that’s what the latest Solo Expenses development does. Working with Xero, the New Zealand-based producers of cloud-based accounting software for small and medium businesses, we have developed a way for recording of an expense not simply in an expense claim, but also as figures in the company accounts. Here’s how it works:
The integration process
They say a picture is worth a thousand words. Taking that thought on board, we have a video presentation to show you exactly how to bring together the two software packages. It’s a simple process.
First, you’ll need to create your settings in a once-only exercise, and you’ll be remembered every time you log in.
Second, as part of that process you’re able to introduce your employees to Xero by name
Third you’ll be able to set up the software to make the necessary tax calculations – 20% VAT in the UK for instance – and the expense categories you want to use.
That’s all you need to do to set up your permanent working relationship with Xero. When that’s done, you can get on with running your business, and leave it to Solo Expenses and Xero to make precise records of the expenses your business has incurred.
On a day to day basis you’ll be able to:
- find a list of approved expenses
- see the value of a particular claim
- check out the currency involved
- who made the claim
- who approved payment
- when it was approved,
- and any notes they may have added.
After that, clicking the ‘export’ button sends the data from Solo Expenses to Xero, where payment can be completed – recording the payment in your company accounts at the same time.
Although Xero also has offices in Australia, the United Kingdom, the United States, Canada, Asia and South Africa, its software, like ours, can be operated anywhere there’s a WiFi signal by anyone with a smartphone.
